WhatsApp for clinics, hospitals, and pharmacies

Send appointment reminders, share lab results, handle prescription refill requests, and answer patient inquiries — on the platform your patients already use.

Healthcare communication in India lives on WhatsApp whether the clinic admins like it or not. Patients send photos of lab reports. They ask for prescription renewals. They forget appointment slots. Front-desk staff handle all of this on personal phones, with no audit trail and no continuity when staff change.

Flowgento gives small clinics, multi-doctor hospitals, and independent pharmacies a structured WhatsApp inbox — with the audit trail and team handoff that patient care actually requires.

Use cases

Appointment reminders

Auto-send WhatsApp reminders 24h and 1h before scheduled appointments. Reduce no-shows by 30%+ compared to SMS-only reminders.

Lab result delivery

Share PDF lab reports via WhatsApp once your lab has uploaded them. Patients access reports instantly without driving back to collect.

Prescription refills

Patients message your pharmacy with a photo of their existing prescription; staff handle refill orders and delivery from the inbox.

Pre-consultation forms

Send a pre-consultation questionnaire via WhatsApp ahead of the appointment. Doctor sees the form filled out before the patient arrives.

Post-discharge follow-ups

Schedule follow-up messages 1 day, 1 week, and 1 month after discharge or procedure. Catches complications early.

Bill payment reminders

Send invoice + payment link via WhatsApp. Settles faster than physical bills mailed to patients.

How it works

A typical clinic-on-Flowgento workflow assigns the WhatsApp inbox to front-desk staff during clinic hours, with auto-replies set up for after-hours messages saying when staff will respond. Appointments scheduled in your existing system trigger WhatsApp reminders via webhook.

For multi-doctor practices, route messages to the right doctor's coordinator by tagging contacts with their primary doctor. Coordinators respond to non-clinical questions, escalate clinical ones, and book follow-up appointments.

Larger hospitals usually run Flowgento alongside their HIS/HMS via webhooks — patient registration triggers a Flowgento contact creation, lab uploads trigger result-share messages, and discharge events trigger follow-up reminder schedules.

FAQs

Is Flowgento HIPAA-compliant for handling patient data?

Flowgento is built to India's DPDP Act 2023, not HIPAA. HIPAA is a US-only regulation. If your clinic operates only in India, DPDP is the relevant compliance baseline. If you handle patient data for US patients or US insurance, you'll need a HIPAA-compliant platform — Flowgento is not the right fit for that use case today.

Can patients share photos of prescriptions or symptoms?

Yes. WhatsApp supports image attachments up to 16MB. Patients can share prescription photos, symptom images, or insurance cards. Treat all such images with the same care you'd give physical documents — your clinic remains the data controller.

How do I keep doctors from being interrupted by patient messages?

Most clinics assign the WhatsApp inbox to coordinators or front-desk staff during clinic hours. Coordinators handle scheduling, billing, and routine questions; escalate clinical questions to doctors via @-mention or a separate handoff. Doctors don't need to be in the inbox.

Can lab results be sent automatically when they're ready?

Yes — integrate your LIS/HIS with Flowgento via our webhook API. When the lab system marks a result as ready, your integration triggers a WhatsApp template message with the report attached. Setup typically takes a day for a developer.

What about HIPAA-covered patients on Indian clinics?

If you treat US patients in India and they're covered by US insurance that requires HIPAA, you'll need a HIPAA Business Associate Agreement with whichever platform handles their PHI. Flowgento doesn't currently offer BAAs. Most India-resident-patient practices don't need HIPAA at all.

Important compliance note

Flowgento is built with India's DPDP Act 2023 in mind for personal data handling. We are not HIPAA-certified — HIPAA is a US-only regulation and is not the relevant law for clinics operating exclusively in India. Patient data handling requires your own clinic's security practices regardless of platform: access controls, staff training, audit reviews. If you handle patient data for US-based patients or insurers, please confirm your specific compliance requirements with your legal advisor before sharing PHI through any third-party platform.
